Video Platform Project Review: Rquirements

  • Project Goal

    At the high level, campus is looking for a solution that will enable:

    1. 1. Enable capture/upload of video assets from a variety of technologies by all stakeholders to a hosted space located within Canada (adhering to the rules set forth in FIPPA legislation)
    2. 2. Provide a simple interface which includes role based management of video assets (Campus-wide and Unit based administration controls and access rights)
    3. 3. Ensure control and ownership of video assets (protection of privacy, access copyright and Intellectual property) through proper authorization
    4. 4. Allow for search and discovery of video assets by ensuring proper tagging, metadata and required fields, including copyright licensing information.
    5. 5. Deliver streaming of video assets across a variety of platforms (Word Press, Drupal, Blackboard Learn, Web Sites, Mobile Web, etc.)

    Work to Date

    Over the past 2 years we have been looking to implement a campus-wide video platform. During that process we selected a specific vendor and have been piloting that solution: Kaltura. In order to make a decision on whether or not to move forward with Kaltura, we need to determine if Kaltura can meet the majority of our up-to-date requirements. The goal is therefore to collect requirements and then meet with the Kaltura to determine how many of these requirements are met. The form below contains a list of all requirements gathered so far. Please read the brief instructions including the rubric and then go through the requirements, choosing the importance of each requirement from your perspective. When we have finished gathering all of the forms back we will provide a detailed chart, which you can use to score the solution when we have the vendor present. We will then use that information to determine how well the solution fits with our needs on a per unit basis and on a campus-wide basis

    Key Determinants

    In order to determine whether or not to move forward, we need to ask a few key questions:

    1. 1. Does it meet most of our needs?
    2. 2. Will we use it if it does?
    3. 3. Do we see enough value to contribute to its costs and governance?
    4. 4. Should we move forward or examine something else?
    5. 5. If it meets some of our needs, what needs are still unmet?

    Timelines

    Because we are very close to the end of the financial year, I am not optimistic that we will be able to determine whether or not Kaltura is the right platform before 2012. That said, if we collectively make this decision a priority and if we are willing to make public commitments and determine funding before then, we may reach a decision before 2012.

    The specific requirements listed below have been collected from Sauder, Medicine, CTLT, Arts and UBC IT. As this is a working draft, I welcome continued additions by other units in addition to the units mentioned.

    1. 1. Each represented unit will add any missing requirements by January 15th, 2012.
    2. 2. Each represented unit will delegate one representative to coordinate communications with UBC IT, CTLT and Kaltura.
    3. 3. Each represented unit will ensure that they have 1 or more represetatives present at the vendor meeting.
    4. 4. UBC IT will schedule a meeting with Kaltura for the first or second week of December (depending on schedules).
    5. 5. UBC IT will communicate with your representative regarding the time and date for the meeting with Kaltura
    6. 6. A follow-up meeting will be set on the same day to ensure timely feedback from each unit and a recommended path on whether or not to move forward

    Critical (4 Points) Functionality, where if absent would prevent your unit using the video platform
    High (3 Points) Functionality, where if absent would seriously negatively impact use of the video platform
    Medium (2 Points) Functionality which is preferred and which will ensure optimal use of the video platform
    Low (1 Point) Functionality which represents a "nice to have" but which would not impact your use of the video platform in a significant way
    Not applicable (0 Points) Functionality, which is not required at all for your purposes and where absent would have no impact on your use of the video platform
